Mass-Merge

The Mass Merge function allows you to merge duplicates of leads, contacts, and accounts. The tool will go through your existing records database and merge duplicate records, but in order for it to work, you must have Salesforce duplicate rules in place. 

If you don’t have Salesforce duplicate rules in place, Lane Four has a feature called Duplicate Record Helper that can seamlessly run your records through a mass merge.

How do I run a Mass Merge?

Before you can run a Mass Merge, you need to set up a duplicate rule.

1. Create a new merge rule by selecting Create New, from the Account Duplicate  Rule dropdown, select the duplicate rule that you want to process. 

2. If you also want to process a Lead or Contact duplicate rule, choose between the two objects and select the Lead or Contact duplicate rule that you wish to process from the list.

3. Save your rule. The newly saved rule will appear in the list of Duplicate Rules to Process. Select Run Mass Merge from the top right of the page.

How do I set up Duplicate Record Helper? 

To set up the duplicate record helper, open Matching > Matching Rules in the left hand sidebar.

1. Select “Go to Salesforce Duplicate Rules” to access your Salesforce duplicate rules Setup menu. To create a duplicate rule, you must have a matching rule to tell the system which fields on your records you will like to compare. Select “Matching Rules” located under Duplicate Management from the left Setup sidebar.

2. Select “New Rule” and select the “object”, select the field(s) you want to match by. Activate your new matching rule so that it can be used in a duplicate rule by selecting “Activate”.

Now that you have your matching rule, you can create the duplicate record helper.

3. Select “Duplicate Rules” located under Duplicate Management from the left Setup sidebar. Under New Rule, select the Duplicate Record Helper from the object dropdown. Give your rule a name that will help you reference it later, you may choose to bypass sharing rules. Select allow both action on create and edit and report options only, deselect alert.

4. Select save. Your mapping should automatically be created, now activate your duplicate record helper by selecting “Activate

5. Export your data into the Duplicate Record Helper object. You can see matches being made by opening the report type in the Lane Four package called “Lane Four Duplicate Record Sets”

6. If you want to use Duplicate Record Helper to mass merge leads and contacts, select the Duplicate Record Helper rule from the Lane Four Mass Merge page by going to Create New, selecting the duplicate record helper option, and selecting the duplicate record helper rule you just created. 

If you want to mass merge accounts with Duplicate Record Helper, you must manually enter the account rule in order for the mass merge to run.

To manually set up the account rule: 

  • Open Setup and go to custom settings, select Manage next to Duplicate Rule to Process.
  • Paste the Duplicate Record Helper ID into the Account Rule ID and save. 

7. Confirm that matches have been made in the report and delete all records in the Duplicate Record Helper object. We recommend using a tool such as Data Loader to export all records in the object “Duplicate Record Helper”, and deleting them.
